City of Mission, City Clerk
The City of Mission, Kansas is seeking qualified candidates for the position of City Clerk. Under the direct supervision of the City Administrator, the person plays a key role, performing a variety of professional and administrative tasks in support of the administration of the City. Performs the duties of City Clerk in accordance with State statues, City ordinances, and City policies.

The City Clerk is responsible for preparing Council packets, the meeting set-up, attending each meeting, taking minutes and records each action. The position will maintain official city documents including recording, filing, scanning, archiving and destruction and will maintain contracts, agreements, appointments, proclamations, resolutions, ordinances, and records. The person in this position ensures that municipal code is updated and properly codified.

The City Clerk is responsible for issuing business, massage, alcohol, and special event licenses or permits and deposits and records payments. The City Clerk is responsible for preparing and publishing official notices in the newspaper and websites, updating the city website and social media for Council meetings, committee meetings and special events. The City Clerk will respond to requests for information under Open Records and Open Meeting requirements. Work schedule requires attendance at evening meetings several times each month.

Candidates must have a valid driver’s license. Notary Public, Certified Municipal Clerk, preferred. Master Municipal Clerk preferred.
Required Education and/or Experience: Two to three years related experience and/or training; or Associate’s degree; or equivalent combination of education and experience. Education may include finance, accounting, or a closely related field. Local government experience preferred.

City of Udall, Municipal Court Clerk / Assistant City Clerk

The Court Clerk / Assistant City Clerk will work under the direction of the City Clerk and will be responsible for assisting with the City Clerk’s duties and responsibilities. The Court Clerk will work with the judge and the police department and be responsible for preparing and filing legal documents as mandated by the court.

Duties and Responsibilities:

Municipal Court Clerk
Attend all Udall court hearings (2nd Tuesday of each month @ 6:00pm)
Responsible for all correspondence with judge, attorneys (both prosecutors and defense), attorneys’ legal assistants/paralegals, defendants ; Keep all court records up to date (both electronically and paper files) ; Regularly send files to and from Kansas DMV ; Attend Kansas Municipal court clerk training yearly for (1-4 years) ; Handle all payments from defendants towards cases ; Create and send legal forms /  paperwork when necessary

Assistant City Clerk
Receptionist for main window in office,  answer the main phone line and take messages ; Pick up and drop off mail daily or a few times a week ; Receipt all payments ; Fill out work orders for maintenance team and store for city clerk; Keep all paperwork in the office organized and triaged for city clerk ; Direct residents to who to speak with regarding each issue ; Do deposits to bank 1-2 times a week ; Schedule for Udall community building; Regularly update forms used by city clerk and court clerk; Create monthly Chit Chat for city ; Drop off chit chat to local businesses and post office ; Cover City Council meetings when City Clerk cannot ; When needed locate files for City Clerk ; Meet with City Clerk weekly to plan schedule for next week ; Cover office on days City Clerk is off or elsewhere ; Transcribe minutes when needed for City Clerk; Scan files into computer as organize by City Clerk.

Experience with Microsoft Word, Excel, Outlook; Knowledge of use of everyday office equipment such as fax machine, copier, printers, etc.; Efficient typing skills; Previous clerical and office environment experience; Previous customer service experience recommended; Must meet all city safety requirements

Benefit Information:
Starting hourly pay rate is $15/hour. Each employee, following initial employment, shall satisfactorily complete a 3 month (90 days) probationary period before granted permanent employee status.

After completing any prior approved educational training, or certifications that the employee needs to perform their job and upon approval by the Mayor and the City Council, the employee may receive a raise. Each employee will be evaluated at least twice a year and not more than three times a year. Medical and Dental Insurance is available to all full-time employees after their 90 day probation period.

All employees who meet the hour and age qualifications are covered under the Kansas Public Retirement System (KPERS). Participation is mandatory, but cannot be undertaken until after the first year of employment. After 6 months of permanent status employment, the employee will receive 5 days per calendar year of sick pay. After one year of employment, all full time employees earn 80 hours of vacation.

Job Summary
The City Clerk is a professional position with a high degree of responsibility for managing all aspects of the City Clerk’s Office.
